- NewSign up your property management company
If you manage HOAs professionally, you can now bring your whole portfolio onto NeighborBase in one sitting. Choose "I run a property management company" when you sign up, add each community with its door count, and every one gets its own ready-to-use workspace — with you and your staff connected as property managers across all of them. You'll start on a 15-day free trial, no credit card required.
- NewOne bill for your whole portfolio
Property manager plans are priced by your total doors — one subscription covers every community you manage, with monthly or annual billing. Manage it all from Portfolio → Billing, and when you add communities later, your plan adjusts automatically. Add them anytime from Portfolio → All Communities.
- NewHand each community to its board — without the bill
Invite a board admin for any community you manage and they get full control of their workspace — branding, categories, members, everything. What they won't see is a billing page: communities paid for by a property management company show a simple note that billing is handled for them.
- NewBring your maintenance crew into NeighborBase
You can now add maintenance workers — the handyman, landscaper, or contractor who services your community but doesn't live there. Invite them from Settings → Members, then assign them tasks and requests just like any board member. They get a focused My Work page showing only what's assigned to them, where they can update the status and post progress notes. They can't submit their own requests, see internal board notes, or change anything about your community's settings — so it's safe to hand off the day-to-day work without handing over the keys.

When a request or task is assigned to you, the email now includes its full description — not just the title. Whoever's doing the work can read the details right in their inbox without opening the app. Tasks assigned the moment they're created now send that email too, so nothing gets handed off silently.

- NewSet response time goals for requests
You can now set how quickly your board aims to respond to and resolve resident requests, measured in business days. Set a community-wide default in Settings → Categories, then give any category its own target — say, 14 days for architectural review and 3 days for everything else. New requests pick up the right deadline automatically, and you'll see at a glance which ones are on track, due soon, or overdue across All Requests and My Queue.
- NewGet alerted when a request runs late
When a request passes its response or resolution deadline, NeighborBase emails whoever it's assigned to — or the whole board if it's unassigned — so nothing slips through the cracks. You control these alerts with a new toggle in Settings → Profile.
- NewSend an automatic reply when residents submit a request
You can now greet every new request with an automatic reply, so residents know you've got it the moment they hit submit. Write a community-wide default in Settings → Categories — and weave in their name, your community's name, or your response-time goal so it reads like a real reply. Any category can have its own custom message or turn the auto-reply off entirely. The reply shows up right in the request thread and lands in the resident's inbox.

- NewAttach files to tasks and task comments
You can now attach photos, documents, and PDFs when creating a task or posting a comment on one — up to 5 files, 10 MB each. Attachments appear inline in the task detail, and any board member can download them with a single click.
- NewFilter tasks by status and assignee
New filter chips at the top of the Tasks page let you narrow by status (To Do, In Progress, Done) and assignee. Filters work in both list and kanban views, and a "Clear filters" shortcut resets everything at once.

Portfolio · Task Workflow
- NewWork requests from any community in one view
The new All Requests page in your portfolio brings together every request from every community you manage — no more switching orgs to check what's new. The same two-pane inbox you know from a single community works here: list on the left, full conversation on the right. You can reply, change status, assign to a board member, add internal notes, and use AI draft — all without leaving the portfolio. Filter by community, status, or assignment, or star the ones you're actively tracking.
- NewSee and manage tasks across all communities
All Tasks gives you the same cross-community view for board tasks — open and done, sorted by due date, with overdue tasks flagged in red. Filter to just your assigned tasks or narrow to a specific community. Click any task to update its status, reassign it, change the due date, or add a comment.
- NewCreate a task directly from a request
A new Create Task button sits in the request toolbar for board members and property managers. Click it and the task form opens pre-filled with the request title and the request already linked — no copy-pasting, no hunting for the right request in a combobox. Useful whenever a resident request needs internal coordination before it can be resolved.
- NewPost a comment and close a task in one click
The task comment box now has two buttons: Post (adds the comment and leaves the task open) and Post and Close (adds the comment and marks the task Done in one step — no separate status change needed). When the task has a linked request that's still open, a Close Associated Request checkbox lets you resolve it at the same time, posting an automatic reply to the resident and triggering the resolved email.
Fixes
- Property managers can now post replies and internal notes from the portfolio reading pane and task detail — previously returned an error for communities they hadn't visited directly.

Requests Inbox · Inbound Email · Units & Residents
- NewA faster, inbox-style Requests page
Requests now work like an email inbox. Your list of requests sits on the left and the full conversation opens on the right — click a request to read it, reply, change its status, or assign it without ever leaving the page. It's quicker to triage a busy queue and easier to keep track of what you're working on.
- NewSee what needs attention at a glance
Requests with new activity show a blue dot and bold text — just like unread email — so the things waiting on you stand out. Opening a request marks it as read.
- NewStar requests to keep them close
Board members and property managers can star any request and filter the list to just their starred ones — handy for the few you're actively chasing. Your stars are your own.
- NewSubmit a request without leaving the page
The New request form now opens right inside My Requests. Fill it in, submit, and your new request appears selected and ready to track — no separate page to bounce through.
- ImprovedBoard members can now manage units and residents
Settings → Units is now available to all board members, not just board admins. You can add and edit units, link or unlink residents, set a primary contact, and import a CSV roster. The only thing that stays board-admin-only is inviting new board members — board members can still invite residents as usual.
- NewSubmit requests by email
Every community now has a dedicated email address — yourslug@neighborbaseapp.com. Residents can email it directly to open a new request without logging in. The sender is matched to their account by email address, the board gets the usual notification, and the resident receives a confirmation with a link to view their request in the portal.
- NewReply to notification emails to add a comment
Every outbound notification about a specific request now includes a Reply-To address. Hit reply in your email client and your message is added to the request thread — no portal login needed. Works for residents replying to board updates and for board members replying to resident notifications.
- NewFind your community email address in settings
The community email address is now shown at the top of Settings → Branding with a copy button. Share it with residents so they know where to send requests.
- ImprovedEmailed requests now keep your photos and full message
When you email in a request, we now save your full message as the description and attach any photos you included — JPG, HEIC, and WebP all work. Email signatures are trimmed automatically (anything after a
--line), and logos or other images tucked into a signature are left out, so the request stays clean. - NewEmailed requests land in the right category
Requests that come in by email are now sorted into the best-matching category for your community automatically, based on what the email says — so they're no longer all dumped into one bucket. If it's not sure, it falls back to your default category.

Announcements
- NewPost announcements to your community
Board members can now post announcements — window washing schedules, fire alarm testing, pool closures, whatever the community needs to know. Announcements appear as a banner at the top of every member's dashboard, send an email to residents, and disappear automatically on the expiration date you set. No more stale notices cluttering the screen.
- NewManage announcements from a dedicated page
The Announcements page (in the sidebar nav for all roles) shows active and expired announcements separately. Board members can create, edit, and delete announcements from here. Residents see a clean read-only view of everything currently active.
- NewOpt out of announcement emails
Residents can turn off announcement emails in Account → Email Notifications. Board members have the same control in Settings → Profile. Everything else stays on by default.

- NewAnswer questions before they become requests
As a resident types a new request, NeighborBase checks your HOA's governing documents in real time. If there's a relevant answer, an inline card appears with the answer and a source citation before they hit Submit — so they can skip the ticket entirely if the bylaws already cover it.
- NewDraft board replies with one click
Board members now see a "Draft with AI" button in the request reply box. Click it and NeighborBase reads the full conversation thread and your HOA's governing documents, then suggests a friendly, professional reply. You review, edit, and send — the AI writes a starting point, not the final word.
- NewSuggest a category as residents type
When a resident types a request title and description, NeighborBase suggests the most likely category — Noise, Parking, and so on. A chip appears above the category picker; tap it to select, or ignore it and choose manually. Fewer miscategorized requests means less back-and-forth before the board can act.
- NewPortfolio dashboard for property managers
Managing multiple HOAs means constantly switching context and losing track of what needs attention where. The portfolio dashboard gives property managers one place to see everything across all their communities — so nothing falls through the cracks.
- NewPortfolio shortcut in the org switcher
Property managers now see a Portfolio Dashboard link at the top of the org switcher dropdown — one click to jump back to the cross-community view from anywhere in the app.

Ask AI on Dashboard · Resident Violations · Sidebar Navigation
- NewAsk AI right from your dashboard
Board members and residents can now search HOA documents without leaving the dashboard. A search box sits just below the board's stat cards — type any question, click Ask, and the AI pulls an answer from your bylaws, rules, minutes, and other governing documents, complete with source citations. No need to navigate to the Documents section first.
- NewResidents can view their violations
A new My Violations section in the sidebar shows residents every violation issued to their unit — title, category, status, fine amount, and date. Clicking a row opens the full details.
- NewAuto-acknowledge on first view
When a resident opens a violation for the first time, its status automatically advances from Issued to Acknowledged — giving the board a clear signal that the resident has seen it.
- NewResidents get emailed when their violation is resolved
Residents now receive an email notification when the board marks their violation resolved.
- ImprovedCleaner sidebar for board members who are also residents
Board members linked to a unit now see two clearly labeled sections: Association for org-wide work like requests and tasks, and My Household for their own requests and violations as a homeowner. No more mixing personal and board items in one flat list.

Board members can now issue a violation against any unit — selecting the unit, category, title, description, date observed, and an optional fine amount or correction deadline. Up to 5 photos can be attached as evidence. The unit's primary contact is automatically notified by email. Violations give boards a proper paper trail for recurring issues and a clear, professional way to communicate them to residents.
- NewTrack all violations in one place
The new Violations page gives board members a filterable, sortable table of every violation across the community. Filter by status, category, unit, or fine status. Summary cards at the top show open, acknowledged, and resolved counts at a glance.
- NewFull violation detail view
Each violation has a detail page with the full description, dates, photo evidence, and a comment thread that supports internal-only notes. Board members can update the status, edit the fine amount, and mark fines as paid — all from one screen.
- NewDefine your violation categories
Board admins can configure the categories of violations their HOA issues — Landscaping, Parking, Noise, Pets, Structural, Common Area, and more — under Settings → Violation Categories. Six defaults are pre-seeded to get you started.
- NewImport your unit roster from a CSV
Board admins can now upload a CSV to create all their units in one step. Include optional resident emails to send invitations and link residents to their units automatically. A downloadable template makes the format easy to follow, and a preview table shows exactly what will be imported before anything is saved.
- ImprovedResident management, simplified
Units and residents are now managed together under Settings → Residents. Build your unit roster, see who lives in each unit, and invite new residents directly to their unit — all from a single page. Google address search makes adding unit addresses quick and accurate.
- NewBoard members can view their own submitted requests
Board members who also submit requests as homeowners can now view their personal request history under My Requests, the same way residents can.
- ImprovedScanned documents now work with Ask AI
The AI document assistant can now read and answer questions from scanned PDFs, not just digital text. If your bylaws or meeting minutes were scanned from paper, upload them and they'll work just like any other document.
- ImprovedProfile settings simplified
Address and timezone fields have been removed from profile settings. Since addresses are now managed through unit assignments, there's no need to enter them separately.

- NewAsk your governing documents anything
Upload your HOA's bylaws, CC&Rs, rules, and meeting minutes to the new Documents library. Any member can then ask plain-language questions — "Can residents have chickens?" or "What's the fine for a late assessment?" — and get a direct answer with citations pointing to the exact document and page number. No more digging through PDFs to find the right paragraph.
- NewDocument library with version history
Board members can upload PDFs organized by category — bylaws, CC&Rs, meeting minutes, financial documents, and more. When a document is updated, upload it as a new version; the history is preserved and old versions stay accessible. Admins can mark documents as internal so only board members and property managers see them.
- NewDark mode
A theme picker in the sidebar lets you choose Light, Dark, or Auto. Dark mode uses a warm charcoal — not harsh black — and all text meets accessibility contrast standards. Auto mode follows your timezone, switching to dark in the evening and back to light in the morning.
- NewControl which emails you receive
Board members and residents can now choose exactly which notification emails they get from their profile or account settings. Turn off the ones that aren't useful to you.
- NewManage multiple communities
If you belong to more than one HOA, an organization switcher now appears in the sidebar so you can jump between them instantly. Built especially for property managers overseeing several communities.
- NewProperty Manager role
A new role that gives full board-level access to requests, tasks, and replies — without the administrative controls like billing or member management. Perfect for outside management companies working alongside a volunteer board.

New users get a step-by-step tooltip walkthrough tailored to their role. It advances automatically as you take real actions — no clicking "Next." Dismiss it anytime or turn it off permanently from your profile.

Board admins can set a default assignee for each request category. Incoming requests are automatically routed to the right person — no manual triage needed.

Board admins can create, edit, and deactivate up to 8 request categories, each with an optional description shown to residents when they submit a request.
