Board Tasks

Tasks are the board's internal to-do list — separate from resident requests. Use them to coordinate projects, track follow-ups, and stay organized as a team.

What Are Board Tasks?

Tasks are completely separate from resident requests. Use them to track anything your board needs to get done internally — vendor coordination, meeting prep, follow-up items, capital projects, and so on.

Residents cannot see tasks at all. Task comments are also board-only.

Kanban View vs. List View

Click Tasks in the sidebar. Use the toggle in the top-right corner to switch between two views:

Kanban View

Three columns — To Do, In Progress, and Done — displayed as cards. Drag a task card from one column to another to change its status instantly.

List View

All tasks in a table format. Easier to scan a large number of tasks at once, especially when you want to sort or filter.

Creating a Task

Click New Task to open the creation form. You can fill in:

  • Title (required, up to 200 characters) — a clear description of what needs to be done
  • Description (optional) — additional context, notes, or links
  • Due Date (optional) — click “Add Due Date” to set one; see the section below on how due dates display
  • Assign To(optional) — assign to a board member; they'll receive an email notification (except when assigning to yourself)
  • Related Request (optional) — link this task to a resident request for context; you can search by request title
Tip: Linking a task to a resident request using Related Request is useful when a request requires multiple internal steps or cross-board coordination before it can be resolved.

Creating a Task from a Request

When you're reading a request and realize it needs internal follow-up, click the Create Task button in the request toolbar. The task form opens with the title already filled in and the request linked — no copy-pasting needed.

You can change the title, assign the task to a board member, and set a due date before saving. Once created, the task appears on the Tasks page and in My Queue if you're the assignee.

Task Detail & Comments

Click any task card or row to open its detail view. From there you can:

  • Change the status (To Do → In Progress → Done)
  • Update the assignee or due date inline
  • Leave comments for your team — board-only, never visible to residents
  • Delete the task (you'll be asked to confirm)

Post and Close

The comment box at the bottom of a task has two send buttons:

Post

Adds the comment and leaves the task open. Use this for progress updates or questions that don't end the work.

Post and Close

Adds the comment and marks the task Donein one step — no separate status change needed. The modal closes immediately. Only shown when the task isn't already Done.

When a task has a linked resident request that's still open, a Close Associated Requestcheckbox appears above the buttons. Checking it and posting (with either button) resolves the request, posts an automatic public reply to the resident, and sends the “request resolved” email notification.

Tip: Use Post and Close + Close Associated Request together when the task work is done and the resident's issue is fully handled — it wraps up both the internal task and the resident-facing request in one action.

Due Dates & Overdue Tasks

Tasks with due dates show a human-readable countdown instead of a raw date:

  • Due today — due date is today
  • Due tomorrow — due date is tomorrow
  • Due in 5d — due in 5 days
  • 2d overdue — past due by 2 days (shown in red)

Overdue tasks are highlighted in red on the Kanban board, in the list view, and in your My Queue on the dashboard — so nothing slips past you.
