Maintenance Workers

Bring your handyman, landscaper, or contractor into NeighborBase so you can hand off the day-to-day work — without giving them the keys to your community.

What a maintenance worker can — and can't — do

A maintenance worker is built for people who service your property but don't live there. They can act on the work you assign them, and nothing else.

They can

  • See tasks and requests assigned to them on a My Work page
  • Update the status of those items
  • Post progress updates (the resident is notified on a request)

They can't

  • Submit their own requests or create tasks
  • See other members' requests or tasks
  • See internal board notes
  • Change branding, categories, billing, or members

Inviting a maintenance worker

  1. Go to Settings → Members and click Invite someone.
  2. Enter their email address and choose Maintenance Worker as the role.
  3. Click Send Invite. There's no unit to assign — maintenance workers aren't tied to a household.
  4. They'll get an email invitation. Once they accept and sign in, they land on their My Work page.
Note: Only Board Admins can invite maintenance workers. The invite works just like adding a board member — it just gives them the limited maintenance-worker access instead.

Assigning work to them

Once someone is a maintenance worker, they show up in the assignee picker everywhere you already assign work — right alongside your board members:

  • Open any request and set the Assigned to field to the maintenance worker.
  • Create or open a task and assign it to them the same way.

They'll be notified of the assignment by email, and it appears on their My Work page. As they make progress, they can move the item along (for example, To do → In progress → Done) and leave updates. When they reply on a request, the resident who submitted it gets the update — internal board notes always stay private to the board.

Tip: Assigning a request to a maintenance worker doesn't take it off your board's radar. You still see it in All Requests and can jump in with an internal note or public reply at any time.
