Understanding Roles

Every person in your NeighborBase portal has a role. Your role controls what you can see and do across the app.

The Roles

Board Admin

Full access to everything in NeighborBase. The person who creates the HOA portal is automatically the first Board Admin.

  • Manage and respond to all resident requests
  • Create, assign, and track board tasks
  • Invite and remove board members and residents
  • Customize the portal's branding (logo, colors)
  • Manage request categories
  • Handle billing and plan upgrades
Board Member

Full day-to-day access for managing requests and tasks, but cannot change settings or manage other board members.

  • View and respond to all resident requests
  • Post public replies and internal notes
  • Assign requests and update their status
  • Create, assign, and track board tasks
  • Invite residents to the portal
Property Manager

Designed for outside management companies or contractors who need full operational access without administrative controls. Has the same day-to-day access as a Board Member.

  • View and respond to all resident requests
  • Post public replies and internal notes
  • Assign requests and update their status
  • Create, assign, and track board tasks
  • Issue violations and manage the unit roster
  • View documents (including internal) and use the AI assistant
  • Cannot upload documents or access billing, branding, or category settings
Resident

Access to submit and track their own requests only. Residents cannot see other residents' submissions, board tasks, or internal notes.

  • Submit requests to the board
  • Track the status of their own requests
  • Reply publicly to board updates on their requests
Maintenance Worker

For the handyman, landscaper, or contractor who services your community but doesn't live there. They can act on the work you assign them — and nothing else.

  • See only the tasks and requests assigned to them, on a dedicated My Work page
  • Update the status of their assigned items
  • Post progress updates (residents are notified of request replies)
  • Cannot submit their own requests, create tasks, or see internal board notes
  • Cannot change any community settings
Note: Your sidebar navigation changes based on your role. Residents see My Requests and Submit Request. Board members, property managers, and admins see the full management suite including Requests, Tasks, Documents, and Settings.
