For Board Members
Violations
Violations give your board a clean paper trail for recurring issues. Issue a notice against a unit, attach photo evidence, optionally add a fine, and track it through to resolution. Click Violations in the sidebar to get started.
The Violations List
The Violations page lists every violation in your community. Three summary cards across the top show how many are Issued, Acknowledged, and Resolved — click a card to filter the list to that status.
Each row shows the Unit, Resident, Category, Status, Fine, and the date it was issued. Click any column header to sort by it. You can change a violation's category or status right from the table without opening it. Click anywhere else on a row to open the full detail.
Searching & Filtering
Use the search box to find a violation by its title, unit, or resident name. Combine it with the filters:
- Status — Issued, Acknowledged, or Resolved
- Category — any of your violation categories
- Unit — narrow to a single home
- Fine — Paid, Unpaid, or No fine
Filters stack, and Clear all resets everything at once.
Issuing a Violation
Click New Violation in the top-right of the Violations page and fill in the form:
- 1
Choose the unit
Search and select the unit the violation is against. Units come from your roster in Settings → Units. - 2
Pick a category
Select the violation category. These come from Settings → Violation Categories. - 3
Add a title and description
A short title (up to 200 characters) and a clear description of what was observed. - 4
Set the date observed
Defaults to today — change it if the violation happened earlier. - 5
Optionally add a fine
Click Add Fine to attach a dollar amount, and Add Correction Deadline to give the resident a date to fix it by. - 6
Optionally attach photo evidence
Add up to 5 images (JPG, PNG, HEIC, or WebP) showing the issue. - 7
Issue the violation
Click Issue Violation. The unit's primary contact is emailed a notice automatically.
Violation Statuses
The violation has been recorded and the resident notified. It hasn't been opened yet.
Set automatically the first time the resident opens the violation — confirmation they've seen it.
The issue has been corrected. The resident is emailed when you mark it resolved.
You can set the status from the table or from the Status panel on the violation detail. Acknowledged happens on its own — you don't need to set it manually.
The Violation Detail
Open a violation to see everything in one place: the title and status, the unit and resident, the full description, and any photo evidence (click a thumbnail to view it full size). The right-hand panel lets you change the status, category, fine, and correction deadline, and shows who issued it and when.
Comments & Internal Notes
Every violation has a comment thread. Post a regular comment to communicate with the resident, or check Internal only to leave a note for the board — for example, “Spoke with the homeowner, giving until Friday.”
Fines
Add or change a fine amount any time from the Fine panel on the violation detail. When a resident pays, click Mark fine paid to record it (and Mark fine unpaid to undo). You can filter the list by Paid or Unpaid to keep on top of outstanding fines.
Residents see the fine and whether it's paid, but can't change it — payment is handled outside the app, by whatever method your HOA uses.
