For Property Managers
The Property Manager role is built for management companies and contractors who run a community's day-to-day operations on the board's behalf. You get the full operational toolset — without the administrative controls that stay with the board.
What the Role Is For
A property manager works alongside a volunteer board. You handle the operational load — triaging resident requests, tracking tasks, issuing violations, and keeping the community organized — while branding, billing, and board membership stay under the board's control. You'll see a green Property Manager badge next to your name in the member list.
Getting Access
There are two ways in. If your management company signed up for NeighborBase directly, see Sign Up Your Company — you'll create your communities yourself and your staff get access to all of them at once. If an HOA brought you in, a board admin (or NeighborBase, on their behalf) sets up your property manager account and you'll receive an email invitation to the community's portal.

You'll arrive at that HOA's dashboard with the full operational sidebar — Requests, Tasks, Violations, Documents, and more. - 3
Get to work
Start with the dashboard's My Queue to see what needs attention first.
What You Can Do
A property manager has the same day-to-day reach as a board member, plus a few extras. By default you can:
- View and respond to every resident request, not just your own
- Assign requests, change categories, and update status
- Post public replies and internal board-only notes
- Create, assign, and track board tasks
- Issue and manage violations, including fines and photo evidence
- Manage the unit roster and link residents to their homes
- Invite residents to the portal
- Read the document library — including internal documents — and use the AI assistant
What's Reserved for the Board
To keep the board in control of their community, these stay with board admins:
- Inviting or removing board members
- Portal branding — logo, colors, and display name
- Request and violation category setup
- Billing, plans, and subscription management
- Uploading or deleting documents in the library
If you need something here changed — a new document added, a category created — ask a board admin and they can take care of it.
Documents & AI Assistant
You can open the Documents library, read every document the board has uploaded — including internal board-only documents — and preview PDFs inline. The Ask AI assistant is fully available to you: ask plain-language questions like “What's the fine schedule for parking violations?” and get an answer with citations to the exact page.
Managing Multiple Communities
Most management companies run more than one HOA. NeighborBase gives you a dedicated Portfolio workspace that pulls together every request, task, and community you manage in one place — plus a switcher to jump between HOAs without losing your place. Communities stay fully isolated from one another.
